Position Overview:
We are seeking a proactive and detail-oriented Expedition Operations & Travel Logistics Specialist to manage all aspects of crew and passenger travel logistics. The ideal candidate will coordinate staff and passenger arrangements, manage documentation, and ensure smooth onboarding and demobilization processes - contributing to the overall success of our polar expeditions.
Key Responsibilities:
-Coordinate and book staff and passenger travel, including flights, transfers, and accommodations, ensuring schedules align with vessel operations.
-Organize and manage passenger ticketing and hotel arrangements for guests purchasing travel packages (cruise + flights + accommodation).
-Support visa documentation and ensure compliance with international travel and immigration requirements.
-Collect, verify, and maintain staff documentation, certificates, and personnel records.
-Manage medical insurance policies and keep personnel records current.
-Prepare and send accurate crew and passenger manifests to ships in a timely manner.
-Collaborate with vendors, port agents, and internal teams to resolve logistical issues swiftly.
-Monitor and update staff and passenger data, ensuring all information is accurate and up-to-date.
-Support staff and passenger mobilization/demobilization, troubleshoot issues, and provide exceptional service for last-minute changes.
-Assist with travel budget management, seeking cost-effective solutions without compromising quality.
Qualifications & Skills:
-Prior experience in travel logistics, ticketing, crew management, or maritime operations preferred.
-Strong organizational, communication, and multitasking skills.
-Proficiency in MS Office; experience with logistics or crew management software is a plus.
-Knowledge of international ticketing systems (e.g., Amadeus, Sabre) and visa requirements.
-Attention to detail and a proactive, problem-solving mindset.
-Ability to work under tight deadlines and handle multiple priorities.
-Cyprus/EU passport holders only.
-Fluent in English.
